Summary
- All purchases are final. Plans (monthly and annual), prepaid packs and add-ons are prepaid and strictly non-refundable.
- There is no refund guarantee and no pro-rata refund for cancellation, downgrade, unused time, non-usage, dissatisfaction or termination of an account for breach.
- Cancelling stops future renewals only. You keep full access until the end of the period you have paid for.
- Upgrades charge the price difference immediately; that charge is non-refundable. Downgrades take effect at the end of the current period.
- Prepaid packs expire 12 months after purchase; unused balance is not refunded.
- Your links keep redirecting whatever your payment status. After cancellation your workspace moves to Free plan limits; your links do not break.
- If a URLCrop system error charges you twice for the same item, we correct the billing error by reversing the erroneous charge. This is an error correction, not a refund.
- Do not dispute legitimate charges with your bank or PayPal. Abusive chargebacks lead to suspension and recovery of fees.
- You accept this policy at checkout before each payment.
1. Scope
This policy applies to every payment made to URLCrop: subscriptions (Starter, Pro, Business, Agency), add-ons (extra domains, seats, client workspaces, the Partners add-on), prepaid packs (events, API calls) and the platform fee on partner payouts. It forms part of our Terms of Service and is presented for acceptance at checkout. Enterprise customers are governed by their Order Form; where the Order Form is silent, this policy applies.
It does not apply to:
- commissions paid to partners through the Partners module (those are payments by our customers to their partners, governed by the Partner Program Terms); or
- payments you make to our customers through their links, QR codes (for example UPI payment QR codes) or pages. We never receive those funds; contact the merchant.
2. All purchases are final
You pay for each billing period (one month or one year), each pack and each add-on in advance. Once a payment is made it is not refundable, in whole or in part, for any reason, including when:
- you cancel part-way through a period (access continues to the end of the period — §3);
- you cancel an annual plan early, even on the first day (access continues to the end of the year — §4);
- you downgrade (the lower price applies from the next period — §6);
- you did not use the Service, used it less than expected, or did not use features included in your plan;
- you are dissatisfied with the Service or a feature you expected is on a higher plan or not yet released (check the pricing page and the "Coming soon" notes in the help center before buying);
- you forgot to cancel before a renewal;
- your account, workspace or organization is suspended or terminated for breach of the Terms of Service or the Acceptable Use Policy;
- a third-party platform (for example a messaging app, ad network or app store) changes how it handles links; or
- you purchased a pack or add-on and no longer need it.
Paid plans have no trial period, no withdrawal period and no refund guarantee. The Free plan has no time limit: use it to evaluate the Service for as long as you need before you buy.
Prices and taxes are shown before you pay. Renewal dates are shown in Billing → Plan, and annual renewals are preceded by a reminder email 14 days before the charge.
3. Cancelling a subscription
- Cancel at any time from Billing → Plan → Cancel subscription. Cancellation is self-service; no phone call or email is needed.
- Cancellation stops future renewals only. Your plan stays fully active until the end of the current billing period; we do not charge again.
- At period end the workspace moves to Free plan limits. Links, QR codes, pages and domains above Free limits remain active but read-only (you cannot add more until you are under the limits or you upgrade again). Links keep redirecting. Analytics retention becomes 30 days, so export older analytics before the period ends if you need them.
- You can resume a cancelled subscription before the period ends from the same page, at no cost.
4. Annual plans
Annual plans are billed once a year at the price of ten monthly periods. They are non-refundable even if cancelled on the first day. If you cancel, you keep every feature of your plan until the end of the twelve months you paid for, and the plan simply does not renew. We do not convert the remaining months into a refund, credit or monthly plan.
5. Upgrades
An upgrade takes effect immediately. We charge the price difference for the remaining part of your current billing period as a one-time payment, and the next renewal is at the new plan's price. Upgrade charges are non-refundable, because you receive the higher entitlements at once. If an upgrade payment fails, you stay on your current plan.
6. Downgrades
A downgrade is scheduled for the end of the current billing period; you keep your current plan until then. There is no refund or credit of the difference between the two plans for the remaining period. Resources above the lower plan's limits become read-only when the downgrade takes effect. You can cancel a scheduled downgrade before it happens.
7. Prepaid packs and add-ons
- Prepaid packs (for example 100,000 tracked events or 1,000,000 API calls) are one-time purchases, valid for 12 months from purchase, consumed only after your monthly plan quota is used up, and non-refundable, whether used or not. Unused balance expires after 12 months without refund or credit. Packs are not transferable between organizations.
- Add-ons (extra custom domain, extra seat, extra client workspace, Partners add-on) are billed monthly with your plan. Removing an add-on takes effect at the end of the current billing period, with no refund for the remainder. Resources that depended on the add-on become read-only.
- The 5% platform fee on partner payouts is charged when a payout is processed and is non-refundable.
8. Failed payments
If a renewal payment fails, the timeline below applies. It is not a cancellation; paying the outstanding amount restores your plan immediately.
| Day after failed renewal | What happens |
|---|---|
| Day 1 | We email you. The payment provider retries. |
| Day 3 | Second reminder and retry. |
| Day 7 | Final reminder. The workspace becomes past due: the dashboard is read-only and no new links, QR codes or pages can be created. |
| Day 30 | The workspace drops to Free plan limits. Resources above Free limits stay active but read-only. |
Links, QR codes and pages keep redirecting throughout. Update your payment method under Billing → Payment method and click Retry payment.
9. Correction of billing errors
If our system charges you twice for the same item, or charges an amount that does not match the order you placed, that is a billing error, not a purchase, and we correct it:
- Email support@urlcrop.com from the organization's billing email with the invoice numbers within 60 days of the charge.
- We investigate within 2 business days.
- If a URLCrop system error is confirmed, we reverse the erroneous charge to the original payment method (Razorpay for INR, PayPal for USD), issue a GST credit note against the duplicate tax invoice where applicable, and send you corrected documents. The reversal is in the original currency for the exact erroneous amount; exchange-rate differences and bank or wallet fees are outside our control.
- The correction is recorded in our audit log. It is an error correction, not a refund, and it does not create any exception to §2.
Charges that you authorised (including renewals you forgot to cancel, upgrades, packs and add-ons) are not billing errors.
If money was debited from your account but the subscription was not activated (a failed transaction), the payment provider normally reverses it automatically; for Indian payments this follows the Reserve Bank of India's framework for failed transactions. If it has not been reversed within 7 business days, contact us and we will raise it with the provider.
10. Chargebacks and payment disputes
You agree not to dispute legitimate charges with your bank, card issuer, UPI app or PayPal. Contact support@urlcrop.com first; billing questions are normally answered within 2 business days.
If you open a chargeback or dispute for a charge that was valid under these terms, we:
- contest it with evidence, including your acceptance of the Terms of Service and this policy at checkout, your usage records and our invoices;
- may suspend the organization's paid features while the dispute is open (links keep redirecting);
- recover the disputed amount and the dispute fees charged to us by the payment provider if the dispute is decided in our favour; and
- may refuse future payments from the organization or terminate it for repeated or abusive disputes.
If a chargeback is upheld, the subscription is treated as unpaid from the disputed period and the failed-payment timeline in §8 applies from the chargeback date.
11. Service availability
Fees are not reduced or returned for downtime, degraded performance or bugs. Our live status and incident history are at status.urlcrop.com. Links are served by a redirect service that runs separately from the dashboard and API and is designed to keep redirecting during incidents. Enterprise customers with a signed Service Level Agreement may receive service credits against future invoices as set out in that agreement; credits are never paid out in money.
12. Acceptance at checkout
Before every payment, the checkout page displays this policy's summary and a link to the full text, and requires you to confirm that you understand all purchases are final and non-refundable before you can pay. Your confirmation, the time and the policy version are recorded with the payment.
13. What happens to your data and links
| Situation | Links and QR codes | Dashboard and data |
|---|---|---|
| Active subscription, payment failed | Keep redirecting | Timeline in §8 |
| Cancelled, period not yet over | Keep redirecting | Full plan features until period end |
| Cancelled, period over (Free limits) | Keep redirecting, including links above Free limits and on custom domains | Read-only for anything above Free limits; analytics retention becomes 30 days (older detailed events are deleted on the next retention run; monthly totals are kept) |
| Organization deleted by you | Keep redirecting for 30 days, then stop | 30-day data export window, then deletion; invoices kept 8 years as required by law (see Terms of Service §22) |
Export your links, QR codes, pages and analytics at any time from Workspace → Settings → Export (CSV and JSON). Analytics exports are limited to your plan's retention period.
14. Changes to this policy
We may update this policy. Changes take effect 30 days after we notify Workspace Owners by email and in the dashboard, and never apply retroactively to purchases made before the change. The current version and its effective date are always at urlcrop.com/legal/refund-policy; the version you accepted is shown on each invoice.
